Integration iPaaS Agency

AI Powered integration with expert operators

Operational pressure builds when order volumes outpace your team's ability to sync and fulfil manually. At scale, the gap between a sale and a pick-note becomes a liability, leading to overselling and delayed dispatches. Cogent2 connects your sales source to Mintsoft by prioritising transaction fidelity. We provide the operational control needed to manage high volumes, ensuring inventory levels and fulfilment statuses stay in step across your warehouse and storefront. This integration is for brands where manual reconciliation is no longer sustainable.

Solution Design

For a source system and Mintsoft, the architectural design prioritises transaction fidelity and inventory accuracy. In most setups, the source system acts as the master for customer records and initial orders, while Mintsoft owns the fulfilment record and authoritative stock levels. We typically configure order syncing on a defined trigger to balance operational latency against system limits. A key design choice involves the trade-off between real-time inventory updates and system stability. Frequent stock pushes provide protection against overselling during peak trade but can increase load on the integration layer. We sequence the core order-to-fulfilment flow first, ensuring finance can reconcile daily turnover, while managing complex returns as a secondary phase. This ensures the operating model stays grounded in reliable data from day one.

Orchestrating workflows through a central layer

Cogent2 leverages IPaaS to streamline Mintsoft integrations by automating workflows, enhancing data connectivity, and reducing manual intervention. Benefits include improved efficiency, scalability, and real-time data synchronization, enabling seamless integration across diverse systems and enhancing overall operational agility.

Detecting operational drift and silent failures

Visibility in your fulfilment stack must move beyond simple uptime monitoring. A green light on a dashboard does not guarantee that your Sales Orders are ready for the warehouse floor. We focus on detecting operational drift, where data appears to move but the details decouple, such as orders that sync to Mintsoft but remain unfulfillable due to missing SKU mapping or malformed shipping data.

We prioritise surfacing these silent failures before they impact your pick-and-pack speed or customer delivery promises. By monitoring the flow of inventory updates and fulfilment status at the record level, we catch exceptions where a dispatch in Mintsoft fails to post back to your source system. Monitoring at this level protects the warehouse workflow from the manual workarounds required when systems fall out of step.

Defining ownership for exception management workflows

Handover focuses on the finance, operations, and customer service teams to ensure they own the new operating model. We define who owns each exception type, such as mapping errors or sync failures. Teams learn how to read alerts from the integration and what to check during daily or monthly reconciliation to maintain accuracy. Our documentation is an operational reference, not a technical archive, written for the people managing the business day to day. It captures exactly where each data object lives and how to resolve errors before they impact the customer experience.

Maintaining fulfilment accuracy after go live

We provide operational support designed to maintain fulfilment accuracy. Rather than just monitoring uptime, we focus on identifying sync exceptions before they impact your warehouse operations. Our support ensures technical expertise is available to handle API issues or mapping errors that occur as your product catalogue expands. By taking ownership of the integration layer, we allow your operations team to focus on warehouse throughput while we ensure the data remains accurate across both Mintsoft and your sales channels.

Integration operating model

In a standard integration, the Source system (like an eCommerce store or marketplace) owns the customer order, while Mintsoft owns the fulfilment process and physical inventory. When an order is placed, it is sent to Mintsoft to be picked, packed, and shipped.

To keep operations running accurately, the systems must agree on a single source of truth for stock. Mintsoft typically manages the available inventory levels and updates the Source system on a defined schedule. Operational success depends on three factors: 1. SKU Alignment: There must be a 1:1 match between the Source SKU and the Mintsoft SKU for data to sync. 2. Location Mapping: Storefront locations must be correctly mapped to Mintsoft warehouses so stock is deducted from the right place. 3. Status Updates: Once an order is shipped in Mintsoft, the fulfilment status and tracking information must flow back to the Source to notify the customer.

Failure to align these logic points often results in overselling or manual work for customer service teams to reconcile order statuses.

Common failures

Common Failures

SKU Mapping Discrepancies Mintsoft typically requires a 1:1 SKU match with the source system to sync inventory correctly. If variants are created with missing or duplicate SKUs, the integration may fail to update stock levels, leading to overselling or manual data-cleansing requirements in the warehouse.

Shipping Service Mapping Gaps To ensure correct courier selection, shipping titles in the source system usually need to match the services defined in Mintsoft exactly. If a new shipping rate is added to the storefront without being mapped in the integration, orders often sit in an unallocated state, delaying the fulfilment process.

Order Status Desynchronisation When an order is cancelled or modified in the source system after it has synced to Mintsoft, the update does not always flow through to the warehouse immediately. This creates a risk where cancelled orders are picked and packed, resulting in wasted inventory movement and shipping costs.
